Job Summary:
The Executive Administrative Assistant is responsible for assisting with all administrative duties within the Head CFS office of the Stoney Nakoda Nation in Mini Thni, as required; providing direct clerical support to the Executive Director and the Associate Director.
Tasks, Duties and Responsibilities:
Administrative
- Organize and manage the Executive Team’s meetings and Outlook calendars
- Ensuring Executive Team is prepared for all meetings
- Sorting and prioritizing correspondence
- Writing, formatting and editing materials as needed
- Organizing travel arrangement when required
- Preparing payment requisitions for monthly credit cards and other expenses when required
- Create and maintain an updated contact list of all SNN Directors and department heads
- Assist the filing department in scanning, cataloguing and filing of CFS documents
- Filing, scanning or typing for the CFS, Records Department and Finance Department
- Coordinate and manage special projects and events as required
- Other Duties included but not limited;
Board Meetings
- Create and maintain update contact list of Board of Directors and CEO’s, CFO’s.
- Book venue and arrange accommodation and catering as required
- Prepare agenda and meeting packages as required
- Process director fees and travel expenses
- Responsible for organizing all technical equipment – computer, printer and projector
- Ensure all paperwork is collected and filed.
- Set up monthly/bi-weekly Senior Team meetings and capture all minutes
Educations, Skills and Qualifications
- Graduate of a recognized post secondary program in Office Administration preferred
- Alberta High School Diploma or Grade 12 Education
- A minimum of 3 years working experience in a senior executive environment with proven ability to work under pressure with an Executive Team
- Strong analytical and policy skills
- Exceptional communication and diplomatic skills in both verbal and written
- Strong organization skills and attention to detail
- Advanced computer skill with Microsoft Office 365
- Conflict resolution skills
- Fluency in Stoney is an asset
Employment Conditions
- Must be able to travel if requested
- Available outside of normal work hours to provide support on urgent matters or to meet deadlines
- Valid Class 5 Drivers Licence
- Clear Criminal record check with Vulnerable Sector and Child Intervention Check
