POSITION SUMMARY
Working under the direction of the Sr. Financial Clerk, the Receptionist/Jr Finance Clerk is responsible to implement administrative procedures for the Stoney Education Authority. The Receptionist/ Assistant is also responsible for assisting the Senior Financial Clerk with any tasks conducted within the accounting department.
Job Duties
Office Duties
- Take minutes and notes at various meetings
- Manage all incoming and outgoing calls.
- Provide administrative support to SEA admin team
- Arrange meetings and agendas
- Pick up, sort and distribute SEA mail
- Pick up cheques, pay stubs, etc from STA.
- Administer policies and procedures related to release of records
- Type all correspondence, letters, memos, files and other documents as required
- Other duties as required
Accounting Duties
- Mail, Collect and sort invoices and cheques
- Prepare accounts payable vouchers when required
- Record business transactions and enter data from daily work logs into the company’s general ledger system
- Maintain any and all documents or items that the accounting department is responsible for, including cheques and invoices, as well as vouchers, accounting statements, and other reports and records
- Match Purchase Orders to Invoices
EDUCATION, SKILLS AND QUALIFICATIONS
- Must have a high school diploma or equivalent
- Completion of Administrative/Secretarial training an asset
- Knowledge of Xyntax would be an asset
- Office administration experience preferred
- Advanced computer skills – Microsoft Outlook, Word, Excel, PowerPoint and Google Suite
- Be organized, professional and have the ability to react efficiently to tasks in a busy work environment
- Willing to work as a member of a dynamic team
- Excellent communications skills, fluency in Stoney would be an asset
- Must be able to maintain confidentiality
- Able to adhere to deadlines
