Job Summary:

Working under the direction of the Executive Administration Manager, the Administrative Assistant is responsible for assisting with administrative duties within the Executive Offices of the Stoney Tribal Administration as required to support the administrative function of the office of the Tribal Administrator (CEO), CFO, and Directors of Tribal Administration. The assistant also provides backup for the Receptionist.

Tasks, Duties and Responsibilities:

Administrative Duties:

You will provide confidential administrative assistance to the Executive Administrative Manager.  Sort and prioritize correspondence

  • Provide confidential administrative assistance to the Executive Administration Manager.
  • Sort and prioritize correspondence.
  • Draft, format, edit, and compile materials as needed.
  • Assist with event and meeting coordination/planning.
  • Prepare travel requests, reconcile credit card statements, and process related expenses.
  • Perform clerical duties such as word processing, compiling and recording data, maintaining files and inventories, operating office equipment.
  • Prepare, compile, and distribute binders, board packages, and other meeting materials.
  • Organize and maintain supplies.
  • Swift Transportation tickets, orders, and invoices.
  • Other duties as assigned.

Reception Duties:

  • Ensure only authorized personnel have access to the Finance/Executive offices.
  • Answer, screen, and forward telephone calls, take messages, and provide information when required.
  • Greet visitors, provide assistance, and maintain office access protocols.
  • Coordinate/confirm room bookings for the Tribal Council Chambers & other meeting rooms as required.

Education:

  • High School Diploma Required
  • Office Administrative Diploma an asset

Skills & Qualifications:

  • Strong verbal, written, and listening communication skills.
  • Exceptional telephone manners and experience dealing with the public
  • Friendly and outgoing personality with a professional attitude, attire, and workplace behavior.
  • Tact and ability to stay calm during busy periods.
  • Strong organizational and time management skills with the ability to adapt to changing priorities.
  • Detail-oriented with the ability to compile and manage information accurately.
  • Ability to work independently with minimal supervision.
  • Knowledge and experience of general office procedures and guidelines.
  • Proficiency in Microsoft Word and Excel; working knowledge of other MS Office products.
  • A genuine interest in people and helping others.
  • Interest in continuous learning and professional growth.
  • Knowledge of the Stoney Nakoda Language an asset

Employment Conditions

  • Ability to obtain a clean criminal record check
  • Valid Driver’s license

Work Environment

  • Fast-paced office environment.
  • Requires balancing multiple tasks and responsibilities.
  • Regular interaction with Chiefs, Councillors, staff, and external partners.
  • Ability to work with little supervision when dealing with routine matters.
